How Many Guests Will Actually Attend Your Destination Wedding?
One of the very first questions couples ask when planning a destination wedding is:
“How many people do you think will come?”
And the honest answer is… probably fewer than you think, and that is not a bad thing.
Destination weddings naturally create a more intimate guest list because they require time, travel, and financial commitment. But before we start reserving rooms or selecting the perfect resort, we need a realistic estimate of who will actually be there celebrating with you.
The goal is not perfection. It is creating a smart starting point so your room block fits your group comfortably.
Here are three simple and surprisingly accurate ways to estimate your guest count:
1. The Stoplight Method
This is a classic for a reason. It is visual, easy, and incredibly effective.
Start with your full guest list and sort everyone into three categories:
- Green = Definitely Attending
- Immediate family, bridal party, ride-or-die friends
- These are your “they would not miss it” people
- Red = Very Unlikely to Attend
- Guests who may have travel limitations, financial constraints, or simply are not likely to make the trip
- Yellow = The Maybes
- Everyone in between, the “we would love to come, but…” group
Now here is the magic:
- Take all of your green guests
- Add half of your yellow guests
- Optionally include a small portion of your red guests since surprises do happen
This gives you a solid ballpark estimate of your actual attendance.

2. The Inner Circle vs. Outer Circle Method
If you are more of a big-picture thinker, this method might feel more natural.
Instead of colors, think in layers of connection:
- Inner Circle
- The people who will move mountains to be there.
- Parents, siblings, best friends
- Plan for nearly all of them to attend
- Middle Circle
- Close friends, extended family, meaningful relationships
- Expect about half to attend
- Outer Circle
- Coworkers, distant relatives, family friends
- A smaller percentage will make the trip
This approach helps you step back and look at your guest list through a realistic lens of priority and proximity, rather than emotion alone.

3. The Plane Ticket Test
This one is simple but incredibly eye-opening.
Ask yourself this question for each guest:
“If I told this person they needed to book a flight tomorrow, would they actually do it?”
- Yes, without hesitation. They are coming
- They would need to think about it. About a 50/50 chance
- They would likely decline. Not part of your core count
This method works so well because it cuts through the “they said they would love to come” conversations and gets to the reality of travel commitment.

Once we have a realistic estimate, we can:
- Reserve the right number of rooms so you are not over- or under-contracted
- Choose a resort that fits your actual group size and vibe
- Set expectations early for both you and your guests
And most importantly, it allows you to plan your wedding!

It is completely normal to start with a big guest list and then see it naturally change as travel becomes part of the equation.
